A delayed renewal becomes dangerous when the business keeps operating as if the limit were already renewed. First establish what is pending, who owns it and what happens to drawings meanwhile.
Continuity file
- Current sanction and renewal due date.
- Stock, receivable and payable statements required by the lender.
- Insurance, inspection and security-document status.
- GST, tax and financial statements submitted.
- Latest account conduct and any excess drawing.
- Four- to eight-week cash-flow forecast.
Protect the business while renewal is pending
Ask for the pending-item list. Get the exact document, inspection, covenant or approval still open and the responsible contact.
Submit a dated reconciliation. Index every document and explain any stock, receivable, GST or turnover mismatch.
Confirm interim account treatment. Ask what drawings are permitted before renewal and avoid assuming an old limit continues automatically.
Prioritise critical cash. Protect payroll, taxes, essential suppliers and operations. Do not use short-term high-cost borrowing without modelling the exit.
Escalate service delay with evidence. If the lender is not progressing the file, use the internal grievance channel with the complete submission record and requested decision date.
Stop condition: if the lender has communicated that the facility will not be renewed, shift immediately from “follow-up” to a funded contingency plan. A complaint cannot substitute for working capital.
Treat renewal delay as a cash-continuity incident before it becomes a default incident
If a cash-credit or working-capital facility is near expiry and renewal is still pending, the first task is not escalation—it is protecting payroll, tax, essential suppliers and operations while building a clean renewal file.
Build a 13-week cash forecast today
| Week | Opening cash | Customer receipts | Essential outflows | Debt/tax | Closing cash |
|---|---|---|---|---|---|
| 1–13 | Actual bank cash | Only dated, probability-weighted receipts | Payroll, critical suppliers, utilities | EMIs, GST/TDS and statutory dues | Show the minimum point |
Do not count a ₹20 lakh receivable due “soon” as cash unless you have a credible payment date. The forecast should tell you the exact week the business runs short and the minimum bridge amount required.
Ask the lender for a pending-item list
Request one written list of documents, covenants, inspections or clarifications still outstanding, with the responsible person and date submitted. Renewal delays often become endless because borrower and branch each believe the other side is waiting.
Separate structural working-capital weakness from a renewal-process delay
If receivable days have permanently increased or inventory is slow, renewing the same limit may only postpone the problem. Review customer concentration, ageing and gross margin. For eligible delayed MSME receivables, examine MSME Samadhaan and the TReDS platforms linked through the official Udyam portal.
Prioritise cash use explicitly
- Safety-critical and legally essential operations.
- Payroll and critical employees.
- Statutory obligations and debt commitments.
- Suppliers whose stoppage halts revenue.
- Discretionary expansion and owner withdrawals last.
Escalate with a business-continuity ask
Instead of “please renew urgently”, state the renewal reference, documents submitted, current expiry date, weekly cash impact and the specific interim arrangement or decision you need. If the issue is a documented service deficiency at a regulated lender and remains unresolved after formal grievance, check eligibility under the current RBI CMS. Do not use Ombudsman escalation to demand a credit sanction the lender has legitimately declined on underwriting grounds.
Decision rule: protect 13-week liquidity and remove every pending renewal item in parallel. A renewal decision should never be the only plan keeping the business alive next Friday.
Use a renewal control calendar
Set reminders 120, 90, 60 and 30 days before facility expiry. At 120 days, update financials and KYC. At 90 days, submit stock, debtor and insurance documents. At 60 days, ask for pending conditions. At 30 days, escalate unresolved internal processing and finalise the contingency cash plan.
Measure customer concentration
If one customer represents a large share of receivables, a delayed payment can reduce drawing power and weaken renewal. Show the bank how concentration risk is managed and which receivables are genuinely collectible.
Do not finance permanent losses with working capital
A cash-credit limit can bridge a normal operating cycle; it cannot indefinitely repair a business whose gross margin is negative. If the forecast shows recurring cash deficit even at normal sales, fix pricing or costs before seeking a larger limit.
The renewal file should tell one story: sales produce receivables, receivables convert to cash, cash repays utilisation. When that cycle is visible, the lender can understand why the limit is needed and how it will revolve.
Use the delay to improve the lender’s visibility into the business
Prepare a short management note explaining current sales, order book, top receivables, stock movement and major upcoming payments. If the bank sees only old annual financials, it may be making a renewal decision with stale information. Current evidence can reduce uncertainty.
Also identify covenants or conditions from the previous sanction that may have been missed. Insurance renewal, stock audit, periodic statements or document submission can hold up renewal even when the business is profitable. Close these gaps before escalating processing delay.
After renewal, create a permanent compliance calendar so the same crisis does not repeat next year. Assign responsibility for GST/tax filings, stock statements, insurance and financial statements. Working-capital continuity is partly a finance problem and partly an operating-discipline problem.
